Actaris Site Services is looking for an Administrator to help with the day-to-day running of projects within a Refurb division based in Swanley, Kent.
A background in building/property background is desirable.
Hours: 9.00am – 5.30pm (4.30 finish on a Friday)
Pay: Hourly Rate: £12.00 – 13.00 an hour / Perm Salary: £22,000 – £24,000
Hours: 9.00am – 5.30pm Mon-Thurs
9.00am – 4.30pm Friday
Job Description:
* Ensure that HSE&Q standards, operating processes, company policies, and all legislative requirements are understood, implemented, and adhered to at all times.
* Learn and understand the way of working ensuring that the processes are complied with and adopted into your daily disciplines.
* Provide a comprehensive administration service to all projects/offices/departments as required.
* Create and maintain office systems including site files, health and safety files, and associated documentation in line with company procedures.
* Create and format documents in Word, EasyBOP, and Excel for presentation or reporting purposes as required.
* Manage the survey function on EasyBOP during the pre-works period, highlighting potential issues in good time.
* To produce a weekly summary report on the current project status for the pre-works period, highlighting potential issues.
* To communicate with residents by letter/telephone to make appointments and obtain Waiver from residents refusing all or certain elements of the works at the survey stage.
* To liaise with clients to resolve problems/issues at the earliest opportunity.
* Filing, scanning, and uploading of documents during pre-works works in progress, through handover period to practical completion, ensuring hard copy documents related to the project/s are archived in accordance with Company’s Document Management System.
* Compile and produce project-specific Health and Safety Files and O & M manuals as required.
* Keep up-to-date, property notes on EasyBOP to ensure the latest information is available to the project team.
* Assist in the production of site literature.
* Provide support as required to members of the Division.
* Maintain the Divisional Archiving system in accordance with company procedures.
* Ensure that the registering, issuing, scanning, and filing documents.
* General office duties.
* Undertake the archiving of completed documents as required.
* Any other duties as assigned.
While the main office is based in Swanley, you will be required to attend your site twice a month and work from the site office
