As an essential part of the organization, you'll be responsible for providing valuable support and ensuring smooth operations.

Key Responsibilities/Duties:

As an Administrative Assistant, you'll play a pivotal role in the daily functioning of the office. Your tasks will include, but not be limited to:

* Handling incoming calls and providing excellent customer service by resolving queries and relaying messages to the appropriate team members.

* Accurately inputting and managing data in our computer software, maintaining the highest level of accuracy and efficiency.

* Engaging with customers and suppliers via phone, email, or letter, ensuring their needs are met promptly and professionally.

* Collaborating in staff monthly meetings and Monthly Performance Reviews, actively contributing to achieving performance targets and creative problem-solving.

* Embracing opportunities for personal development and training to enhance your skills and capabilities.

* Assisting with scanning and presentation of documents, promoting a paperless and efficient office environment.

* Ensuring timely processing of information and implementing quality processes to uphold our high standards.

* Welcoming visitors and directing them to the appropriate contacts.

* Managing diaries, scheduling meetings, and handling travel arrangements.

* Producing reports, preparing presentation slides, and assisting with word processing tasks.

* Coordinating material purchases and placing orders with Sub Contractors.

* Booking accommodation for our dedicated team of engineers to facilitate smooth project operations.

* Maintaining the enquiry spreadsheet and ensuring all job details are accurately recorded online.

* Compiling and distributing job sheets and materials data for accurate costing of each project.

* Efficiently managing the local area registry, filing, and quality systems.

* Regularly updating maintenance details on relevant spreadsheets.

* Handling confidential information with the utmost professionalism and confidentiality.
