Role overview:
This role is a fixed term contract to cover maternity leave and will support the Institute’s Straight To Teaching and Assessment Only QTS programmes.
The Programme Office team is a customer facing team that processes all applications to the Institute’s accredited teacher training and teaching support programmes, to the point of enrolment, liaising with our partner organisations and providing back-office admin supporting to programmes through their delivery phase.
The Programme Officer processes learners’ applications, reliably and efficiently, providing learners with expert guidance regarding their particular programme whilst ensuring learners and Programme Directors alike are kept up to date with progress of their application.
Key responsibilities:
* Process applications and compliance for the Institute’s programmes, in an accurate and timely manner
* Liaise with the incoming learners (and, where necessary, their schools & Pathway Tutors) in collecting the information necessary background and compliance information to process applications for the associated programmes.
* Provide on-going support, by phone and email, to incoming learners on the application process, answering questions and escalating to either the Head of Operations or Programme Directors when necessary.
* Keep regular & frequent contact with learners throughout the duration of their studies to ensure that all required work and documentation is completed and given final review in good time
* Process Learner records for course starts, programme changes (deferrals, withdrawals, extensions) and course completion, which includes registering and maintaining records with the Department of Education and other appropriate bodies.
* Provide support to learners on the required preparations for the start of course – ensuring all learners are properly onboarded on time, as well as those for course completion – ensuring their documents and material are in order.
* Provide support for Ofsted audits and inspections, as and when required
Education & Experience:
Essential
* A drive to just ‘get the job done’, a ‘completer-finisher’
* Strong attention to detail, particularly with regards to data entry and checking documentation.
* Excellent time management skills
* Highly organised; able to think ahead, anticipate upcoming needs and to structure workload in order to meet deadlines.
* Evidence of working in a remote or hybrid environment
* Experienced in using tech in day-to-day communication and organisation
* Strong Excel and Word skills
* Communicates clearly and confidently, both verbally and in writing
* Ability to perform outgoing calls and email follow-ups in a professional, positive, and prompt manner
* Good understanding of Teacher Training or the teaching landscape
* Ability to work flexibly, which may include weeknights, weekends, and holidays during peak times
Desired
Degree
Experience of working in a student support role (ideally in a higher or further education environment)
Familiarity and understanding of QTS requirements and OFSTED regulations desirable.
Proficient in using a variety of software, such as Office, CRMs, email marketing software and other systems and packages.
