OPERATIONS MANAGER

Overview

Operations Managers are a critical pivot point in the lifespan of a client engagement. The project, by the time that it moves towards construction could well have spent months in development, migrating from business development, telesales, tier 1 appointment through to tier 2 strategy and commitment. Along the way, multiple contacts within the business would have touched this opportunity and all would have influenced its present condition, whether positive or negative.

Everyone who has come into contact with the project is materially invested in its success and now the mantle has been passed to construction.

The construction teams involvement in the project would have ideally occurred some time prior to the actual award of the contract to the client.

What history has taught us is that whatever relationship the client has with the company leading into the construction works, the long-term relationship is made or broken by what occurs during the construction phase.

It is essential therefore that the construction team have a working understanding of the entire client approach to each project including the actions taken by everyone on this journey.

This extends to reviewing all information relating to the project, from meeting minutes and correspondence to design briefs and tender documentation.

The Operations Manager is therefore essential to the success of the client as a company and the role demands strong expertise in this discipline as well as strong communication and interpersonal skills.

Responsibilities:

• Review all information produced on a project prior to handover to include: – RFP’s

– Tenders

– Proposals

– Meeting minutes

– Cost plans

– Programmes

– Furniture proposals

– Design schemes and drawings

– Tennent fit-out

• Maintaining health and safety as a principle on site, at all times.

• Directing and attending construction meetings on a weekly basis.

• Regular holding of technical meetings with sub contractors and suppliers.

• Compliance with all company HR measures.

• Constantly preserve and enhance the GP position on projects and work closely with design and technical to achieve the same.

• Issue agenda’s for the weekly construction meeting.

• Produce weekly project reports that are circulated to the Operations Director, Senior Management team at and the client. This information as a minimum should include:

– Meeting minutes

– Information required

– Financial updates

– Progress reports

– Up to date construction programmes – Change requests that require sign-off

• Constantly stay up-to-date on new market trends and positions.

• Liaise with any external consultant that is party to the project, including but not limited to:

– Project Manager

– Cost Consultant

– Surveyor – Architect

– Contract Administrator

• Take ownership of the management of all suppliers and sub-contractors where the clients have a contractual obligation to do so.

• Take ownership of the performance of subcontractors and suppliers.

• Take responsibility in addressing, where required, performance and management issues.

• Undertake a full condition survey in advance of any works commencing on site.

• Ensure that as many orders as possible are instructed to sub-contractors and suppliers in advance of construction works commencing. If you are needing to administer a contract and orders at the same time as delivering effective management of the construction works, this will become challenging.

• Take ownership in looking to mitigate any overspends and refer the matter to the Operations Director as a last-resort, not as a first-resort.

• Ultimately seek approval for any form of overspend from your Operations Director or the Senior Management at the client

• Ensure that any client change requests are correctly administered. This includes having any changes fully scoped and designed and informing the client of the cost, time, quality and risk impact on the overall construction delivery.

• Update the Operations Director on the gross profit performance of the project as it changes.

• Have a specific plan to protect and improve the company’s gross profit position during construction.

• Ensure the correct health and safety documentation is held on site.

• Ensure the latest drawing information is held on site at all times.

• Where appropriate keep a sample of each finish on site as an approved sample and have the client sign these prior to commencement of construction.

• Maintain an immaculate construction site with walkways kept clear, no health and safety breaches and clear and clean the clients branding positioned where possible.

• Ensure the supply chain always protect installed finishes perfectly to stop the need to bring trades back to site in order to rectify damage that may be caused by poor protection.

• Notify health and safety prior to commencement of works on site.

• Where available adhere to the tenants fit-out guide at all times. Maintaining positive relations with landlords is essential to the long-term success of the business.

• Comply with permit to work process of landlords and building management teams.

• Ensure that handover of a construction site at the end of the project is perfect and that all snagging is complete.

• Ensure that O&M manuals are in place for handover.

• Ensure Evolution : Aftercare are introduced to the client before you leave a project.
