Our client has an exciting opportunity for a Conference Logistics Coordinator to join the team, reporting into the Head of Logistics. The ideal candidate will be tasked with delivering logistics requirements for a portfolio of hybrid London based conferences, with up to 500 attendees and 30 sponsors per event
You will be required to be in the office at the start of the position for training, then a minimum of 3 days a week in the office and 2 days from home then onsite on all event days.
This position will work as part of a team of 4 producers and 5 logistics personnel, as part of a larger global conferences team of 30 people.
The successful candidate will have and be tasked with….
Minimum 2 years’ solid experience within B2B conferences/events (speaker & sponsorship management – essential)
Experience leading on multiple events simultaneously
Experience with building and managing events platforms such as events apps and/or virtual event platforms
Experience with being the sole lead on an event for 100 – 500 people: managing all aspects of the event from registration, speaker, sponsor & platform management, working with external contractors, to on the day running onsite/virtual platform
Budget management experience
Possesses strong onsite leadership skills
Excellent communication skills
Event tech: management of the virtual event platform – building the platform, uploading of delegate lists, agenda & speakers, creating and sending attendee communications
Speaker management: working closely with the production team, liaise with all speakers, ensuring they are registered on the CRM system, updating their information (photo, session details, biography etc) on the website (wordpress) and virtual event platform.
Liaise with the marketing team to ensure the conferences website & virtual event platform is always up to date and accurate
Sponsorship management: working closely with the sponsorship team, responsibility for sponsorship deliverables, and registering of sponsor passes.
Process invoices to ensure prompt payment and facilitation of post-event P&L accounts
Using the CRM system to compile, maintain and use accurate speaker records
Liaise/support the Customer Services Team to ensure the delegate registration process for each event is accurate and up to date
Provide regular feedback and updates on event progress to line manager
Liaising with external contractors: including, but not limited to, venues, AV suppliers, signage contractors.
Set up conference calls for panel participants
Leading the team on the day of the event; managing staff, assisting with speaker queries
