Job Type : Contract, Full Time

Salary : £48000 – £55000/annum

My client is looking for an Executive Assistant to join the business for an initial 12 months FTC. The role has the potential to go permanent after the 12 months.
The role will be multi-disciplinary, in that the successful person would support the Head of Department, with general administrative duties, including diary management, but would also be expected to support the international team on team on broader team activities, chasing up updates etc. They are looking for someone with finance experience / background who can also help manage their portfolio of project budget, run the business budgets and learn the financials processes (PO generation etc) to support the team. Please note: In terms of executive admin support, this will be limited to just the leader, not the broader team.
* Executive Admin Support
* managing inbox and calendar, set up & managing reoccurring events (121s, team meetings etc) creating electronic task/to do lists, responding on my behalf to appropriate emails.
* Booking and managing all travel, hotels and team meeting venue/logistics bookings
* Team Support Activities
* Creating and managing agendas for virtual team meetings, workstream meetings, capturing minutes, actions.
* Chasing / follow-up outstanding actions.
* Creating / refining PowerPoint presentations.
* Onboarding vendors
* Raising POs
* Financial Management (in conjunction with the leader and his Leadership Team)
* Creating and tracking Capital Expense requests
* Creating SOWs (statements of work)
* Latest Business Estimate updates
* Problem solving process inefficiencies
Person Spec
* Good excel skills to create trackers, collate information as required. Mail merge capability, basic web design capability.
* Admin support on specific adhoc projects
* Monitoring outstanding training completion for the team, managing first follow up messages
* Related experience in a similar role
* "People person" with ability to quickly build and maintain relationships.
* Strong Microsoft Office and Outlook skills, especially Excel, PowerPoint, Word
* SAP experience desirable or understanding of Finance Systems
* Tenacious, self-starter mentality.
* Ability to prioritize and think on your feet.
* Experience working with remote teams, and with vendor resources
This role will be working 3 days in the office and 2 days from home
