Contract Manager should have: Horticultural awareness • Experience of managing GM contracts and staff • IOSH Managing Safely • Basic to intermediate levels of IT / Excel • Management Training • EvoM Training

Reports to the Ops Manager / SHEQ Dir.
Raise and submit a monthly GM Report to the Operations Manager to include progress, issues, defects, works completed, works due/overdue for all sites
Keep the Ops and Commercial Manager informed of any site damage and any contractual issues Liaise with all allocated Clients maintaining a high level of communication
Being proactive in helping to resolve any site problems, complaints or difficulties
Attend all Manager, Department and Client meetings as and when required
Raise quotes for any extra work (via the Operations Manager) with the Client ensuring that the works are accurately costed and profitable
Order all materials required for the works and ensure all additional works are invoiced as soon as they are complete
Control of all their allocated Supervisors, Chargehands, Foremen and Operatives behaviour, workload, tasking, hours worked, holiday, sickness and absenteeism
Raise / Check Staff Time Sheets weekly and submit to accounts and Agency on a Monday
Provides written or verbal reports to the Client as required in the Contract/Specification
Managing of all allocated Grounds Maintenance sites in a professional manner and ensuring that they are maintained as required within the contract/specification and schedule of visits received from the Operations Manager
Snagging all sites with particular attention paid to identifying poor quality workmanship and ensuring that snagged work is rectified to the schedule
Ensuring that they and their Supervisors/Foreman maintain all paperwork records required for site work & snagging
Ensuring the quality and quantity of all GM works carried out by their staff and that their staff maintain high standards of dress and deportment whilst on site
Managing of all subcontractors that company use on their sites ensuring that works are carried out safely, to agreed standards, and are profitable to the company
Complete new staffs 6/13-week reviews and annual staff appraisal on time
Create a working environment that has a high work ethic, is free from any discrimination and has a good level of moral values
Disciplining staff when necessary up to and including second Written Warning level
Ensuring that Supervisors, Chargehands/Foreman carry out their jobs correctly, adequately supervise all staff to ensure they work safely and that they complete all Daily Activity Briefings, Toolbox Talks and Daily Plant Checks (DABS, TBT, Plant Forms are to be handed to the Manager for checking on a weekly basis then passed to the SHEQ Team)
Employ agency and temporary workers as required
Ensuring that all staff are trained and competent before being given a task and that any new starters, agency or temporary workers are inducted and trained and that these training records are completed and returned to the SHEQ Department
Informing the SHEQ department of any external training required by their staff
Ensure that they are familiar with, and observe, the requirements of company H&S, Quality and Environmental Policies, Management Systems and Procedures that are pertinent to Grounds Maintenance
Manage all allocated vehicles and machinery in a proficient manner ensuring that their staff keep the machinery well maintained (operators checks) and the vehicles clean and tidy
Producing and updating Method Statements and Site-Specific Risk Assessments for all their works using officially allocated forms and ensuring that staff read and sign these method statements.
Carryout a monthly SHEQ Audit of one of their sites
Any other duties allocated by Operations Manager and SHEQ Director
Organising the summer watering schedule, labour, bowsers, standpipes, standpipe licences etc and ensuring all trees and large shrubs and GM sites including planters that are under warranty/defects liability / contract are watered
Organising Winter Drain Down & Spring Start Up on irrigation systems for any Live GM Contracts
Assist in producing O&M Manuals for maintenance
Raising a Master GM Work Schedule (Daily/Weekly/Fortnightly/Monthly) for all GM Contracts
Profitable running of GM Contracts
Ensuring GM Contracts do not suffer excessive plant and tree defects due to poor Grounds Maintenance or Watering
Liaising with suppliers to ensure GM Machinery is well maintained
Monthly checks of all GM Staff spray books to ensure they are properly completed (Sign Comments Box in the book for monthly checks)
Keeping the GM Stores and Pesticide stores tidy
Ordering Pesticides and 2 stroke oil, tools and machinery and spares as necessary on EvoM or company credit card, and approving GM purchases on EvoM
Correct Management of the GM Credit card
Organising staff parking in London, paying for parking on the credit card or organising advances from accounts, collecting staff parking receipts and returning them to accounts
From time to time helping to manage small Construction Soft Landscaping projects as required by the Ops Manager
Assist the company in complying with our Carbon Reduce policies, targets and objectives
