Aspire Jobs are working exclusively with our client who are within the professional services space and who are now looking for a flexible and personable Office Administrator to join their facilities team. The role is open due to promotion of the other candidate after 8 months in the role.
The successful Office Administrator will ideally have some customer service skills and experience from maybe retail or hospitality. This is a great Office Administrator role for a 1st job.
The role is varied and exciting. One day you could be delivering fruit to the staff across multiple locations, and then you could be organising lunches.
The Office Administrator will:-
* Have good MS Office skills
* Be personable with a friendly personality and a good telephone manner
* Be presentable as you will also be covering a busy professional reception area when needed
* Have a can-do attitude with the ability to grow with the role
* Have initiative
* Good attention to detail and accuracy
* Understand what goes into fantastic customer service and the desire to provide excellent service to clients and colleagues
* Be fit as they do have a couple of locations so a bit of walking and delivery work is required!
Job Description
They pride themselves on their office processes and procedures and making them as hassle-free as possible, so their team can concentrate on delivering their area of specialism to their clients (external or internal), with sound technical advice and fantastic client service at the forefront of all they do.
This is an incredibly varied role, where the Office Administrator’s skills in organisation and proactive ness will be utilised every day. In addition to providing general office assistance and assisting the Office Manager with project work, particular areas of responsibility coming into the Office Administrator’s remit will include:
* Learning all ‘front of house’ tasks and covering reception when required, answering calls and greeting clients.
* Setting up meeting rooms in their client suite and other internal meeting rooms, ensuring the rooms are always client ready and refreshments are readily available.
* Organising lunches and coordinating any required moving of office furniture and any internal office desk moves / changes.
* Keeping office floor plans updated.
* Ensuring desks are set up for new starters and cleared from leavers.
* Organising employee car parking permits and monitoring these on an ongoing basis.
* Coordinating any building and equipment maintenance and ongoing checks as required, including for example fire alarm testing,
* Answering tickets raised on their internal facilities' system.
* Collecting and distributing incoming post and preparing outgoing post for Royal Mail collection.
* Ordering required shopping for the office, such as the weekly delivery of fruit and any stationary required, and coordinating deliveries.
* Acting as Health and Safety Office and Fire Warden
