Salary :
To provide a comprehensive support function to Programmes, working to and directed by, the Programme manager
Working across large Projects and Programmes that are part of SCC portfolio including but not restricted to strategic IT focused Transformations, and Transitions Programmes.
The role will require excellent communication and organisational skills and will involve liaising at all levels internally as well as working externally with customers and 3rd party contractors.
This role will be responsible for providing all the necessary project specific and administrative support to the Programme manager, enabling them to effectively deliver the programme of projects on time, within budget and within scope, meeting the needs of the organisation.
SPECIFIC RESPONSIBILITIES:
* Project Process and Documentation Management
* Assist in the production and lead on the maintenance of project scope documents and business cases, project plans, risk registers, issues logs, lessons learnt reports and other project related documents
* Follow up on outstanding project actions in a timely fashion
* Analyse and present information
* Keep all project and team folders up to date.
* Filing new documents received and assisting and maintaining effective and efficient filing structures and systems, both electronic and physical
* To keep the Programme’s SharePoint site up-to-date
* To advise and assist the project team in the application and maintenance of systems and processes and templates, ensuring the delivery is in line with the agreed SCC project management methods and standards
* To support the development of systems, processes and templates, including process mapping
* To complete quality assurance on project management processes, including audits, reviews, compliance checks, configuration management, ensuring all controls are adhered to
* Co-ordinate the production of Programme reporting
* Monitor the completion of all the Programme Plans and schedule
* Coordinate Board submissions board
* To schedule all Programme meetings, including internal and external stakeholders
* To facilitate the delivery of all key meetings, including, scheduling and management of attendance, preparing agendas and papers, creating meeting packs for senior colleagues when required, writing minutes, transcribing dictations, tracking meeting actions.
* To response rapidly to diary changes where required
* To maintain communication channels and tools to facilitate the communication between Programme team members and the Customer
* To manage the team shared inbox,
* To manage SCC BMS Finance system, Purchase Orders, Invoicing and project budget tracking.
* To support with the preparation of Change Requests and track their progress
* To draft financial reports when required
* Co-ordinate the process for obtaining Senior Team and Board signatures
* To co-ordinate the onboarding and induction in conjunction with the Senior Programme Manager for any new member Programme
* Ensure that our approach to project management is fully aligned to SCC PPM
* Ensure that our approach to finance management is fully aligned to SCC BMS Financial System
* To carry out any other reasonable requests as directed by the Programme Manager
